What did Bite Drink needed help with?
Bite Drink was faced with a complex, manual, and time-consuming invoicing process. With invoices being booked in e-conomic, they had to manually recreate these invoices in Zoho Analytics for their internal processing and analysis. Additionally, finding or creating product entries and customer entries on Zoho for each invoice was an arduous process. This inefficiency was taking up valuable time and resources, shifting their focus away from their core mission.
How did we approach it?
Given our proficiency in making business operations easier, we suggested a plan focused on automating the process of recording invoices. We made use of tools from both Visma e-conomic and Zoho Analytics.
Picture this - as soon as an invoice is recorded in e-conomic, our automated system kicks in. It's like a virtual assistant starting its job. Getting Invoice Details from e-conomic: Our system starts by gathering all the important information about the invoice from e-conomic. This includes stuff like the invoice number, when it was issued, when it's due, what items are listed on it, and other similar details.
Making a Zoho Invoice Draft: After the information sleuthing, the system uses the details from e-conomic to make a draft version of the same invoice in Zoho Analytics. It's like your virtual assistant taking notes for you.
Checking or Making New Product Entries on Zoho: Next, the system checks if the products on the invoice are already in Zoho Analytics' product database. If they're not, it's like the system opens up a new file for these products, recording all the relevant details.
Checking or Making New Customer Entry on Zoho: Similar to products, the system then checks if the customer's details are already in Zoho's database. If not, your virtual assistant opens a new file for this customer too, noting down all their information from e-conomic.
By this process, we made sure that all important information from your e-conomic invoice gets copied over to Zoho Analytics automatically. It's like having a helper doing the heavy lifting for you, reducing your workload and ensuring fewer mistakes.
